Our Lady of the Magnificat MAC ~ Cleaning Tender

The tender invites suppliers to supply comprehensive cleaning services for the four secondary and middle schools that form part of the Our Lady of the Magnificat Multi‑Academy Company. The sites include St Augustine’s Catholic High School and Sixth Form in Redditch, St Bede’s Catholic Middle School also in Redditch, Trinity Catholic School in Royal Leamington Spa, and St Benedict’s Catholic High School and Sixth Form in Alcester. The final list of sites to be covered will be confirmed in the specification, and the contracting authority expects the contractor to deliver a consistent service across all schools from contract commencement.

The contract will run for three years from 1 November 2026 to 31 October 2029, with an optional 1 + 1 year extension under the same terms and conditions. It will be awarded on a fixed‑price basis, with the contractor invoicing one‑twelfth of the annual cost each month. A monthly reconciliation will adjust for actual hours worked, and the contractor must maintain a system to cover both planned and unplanned leave while ensuring that the contracted hours are always worked. The successful supplier will therefore provide a fully accountable, scheduled cleaning service across all four schools, meeting the mutually agreed specifications and contractual obligations. The contract will be a fixed‑price, 3‑year agreement with optional 1+1 year extensions and requires monthly reconciliation of hours against a predetermined input.

The successful Supplier will be required to provide cleaning services to Our lady of the Magnificat MAC. Four schools are part of the tender, and we are seeking tender submissions for the whole contract.
Our Lady of the Magnificat MAC is a well-established Multi Academy Company situated across Warwickshire and Worcestershire, which include the following 4 schools where the successful contractor will be required to deliver a service and meet the requirements of the specification from the contract commencement.

•St Bede’s Catholic Middle School, Holloway Lane, Redditch, Worcestershire, B98 7HA
•Trinity Catholic School, Guys Cliffe Avenue, Royal Leamington Spa, Warwickshire, CV32 6NB
•St Benedict’s Catholic High School and Sixth Form, Kinwarton Road, Alcester, Warwickshire, B49 6PX
The final list of schools to be included within the scope of the tender will be confirmed within the tender specification when issued to bidders.
The contract being tendered is for 3 years in duration from 1st November 2026 until 31 October 2029, with the option to extend for further terms of 1 + 1 years on the same terms and conditions excluding the right to further extend. The contract will be a fixed price in nature, with the Contractor invoicing the Client for one-twelfth of the annual cost monthly.
Whilst the monthly charge will represent one-twelfth of the contract cost, a reconciliation will take place monthly to reconcile the actual hours worked within the contract. If the hours worked are less than those budgeted a credit will be required by the schools. This credit will be calculated by dividing the annual contract cost (fixed cost) by the number of annual input hours to arrive at a contractual cost per hour, this will then be multiplied by the number of hours due to arrive at the fiscal credit.
The Trust requires that the tendered number of hours are always worked, and the successful contractor is expected to have a system in place to cover for both planned and unplanned leave.
